Yes, you absolutely need a PM tool to stay organized and on top of your projects, but when it comes to client-facing systems, one size does not fit all. The key is to build a process that is sustainable for you and preferred by your clients. You can deliver an elite client experience without unnecessary complexity, wasted time, or tech that no one actually wants to use.

So, how do you figure out what works best?

One step: collect direct feedback on your process and any client-facing PM tool you currently use.

When I did this, here’s what I found:

  • Clients preferred email for formal communication and project updates because they already use it every day.
  • Clients liked Slack for quick conversations because it felt less formal but still professional.

What changed?

  1. I now send emails via my PM tool for updates and next steps (ClickUp can do this).
  2. I use Slack for informal and formal communication.
  3. I ditched my client-facing PM tool entirely.

By actually listening to my clients, I built a process that works for them and for me—without adding unnecessary tech, stress, or admin work.
